Receipt FAQ
Auto repair receipt questions
Q1What is the difference between a receipt and an invoice?
An invoice asks for money; a receipt confirms it arrived. The invoice goes out when the work is finished and states what is owed. The receipt is issued after payment and proves the balance is settled, showing the amount paid, the date, and how it was paid. If a customer paid at the counter the moment they picked the car up, one document can do both jobs as long as it says the amount was paid in full.
Q2Do I legally have to give a receipt for car repairs?
In most states you must give the customer a copy of the final repair document, and several specifically require it to show what was paid. Beyond the legal minimum it is simply worth doing: the receipt is what a customer produces for a warranty claim, an insurance reimbursement, or a business expense deduction, and reissuing one from memory two years later is not a job you want.
Q3What has to be on an auto repair receipt?
Your shop's name, address and phone; the date paid; a receipt or invoice number; the customer and the vehicle; what was done, itemized into parts and labor; the sales tax; the total paid; and the payment method. Add your warranty terms. The receipt is the document the customer keeps, so it is the right place for them.
Q4Should the receipt show how the customer paid?
Yes. Card, cash and check settle differently and get disputed differently. A receipt that records the method is what resolves a chargeback or a bookkeeping mismatch months later. This template has a Paid by field for exactly that.
Q5Is this receipt template free to use?
Yes. No account, no email, no watermark. It runs in your browser and nothing you type is sent to us.
Q6Can I use this as proof of payment for a warranty claim?
That is the main reason to keep it. A parts warranty claim generally needs the installation date, the vehicle's mileage at installation, the specific part, and proof the customer paid for it. This template records all four, so put the odometer reading in rather than leaving it blank.
